FormZend

Privacy

Last updated: 24 July 2026

This Privacy Policy explains how FormZend (“FormZend,” “we,” “us,” or “our”) collects, uses, and shares information when you visit www.formzend.com, purchase a FormZend license, create an account, or use the FormZend WordPress plugin.

FormZend is a WordPress plugin that helps you design reusable email templates for supported form plugins and WordPress system emails. It is not a form builder, SMTP service, or email delivery provider. Emails rendered by FormZend are sent through your WordPress site’s normal mail process.

If you have questions about this policy, contact us at hello@formzend.com.

1. Who we are

The FormZend website and product are operated by:

2. Information we collect

Information you provide

  • Account details — name, email address, username, password, and profile information when you register or manage a FormZend account.
  • Order and billing details — billing name, company name (if provided), billing address, email address, phone number (if provided), order history, and license information when you purchase a plan.
  • Support and contact messages — information you include when you email us, submit a support request, or fill in a contact or newsletter form on our site.
  • Newsletter signup — email address (and any other fields you choose to submit) when you subscribe for product updates.

Information collected automatically

  • Device and usage data — IP address, browser type, device type, operating system, referring pages, pages viewed, and approximate location derived from IP.
  • Cookies and similar technologies — used for site functionality, security, account sessions, shopping cart/checkout, and (where enabled) analytics. See the Cookies section below.
  • License and activation data — license key status, activation/deactivation events, and site URL(s) associated with a license so we can validate entitlements and provide updates.

Payment information

Payments are processed by our payment provider(s) through WooCommerce checkout. We do not store full payment card numbers on our servers. Card details are handled by the payment processor under their own privacy terms.

3. What we do not collect through the plugin

The FormZend plugin runs on your WordPress site. Unless you contact us or activate a license against our licensing service:

  • We do not receive the content of your form submissions.
  • We do not receive the emails your site sends to your users or admins.
  • We do not host or deliver your transactional email as an ESP/SMTP provider.
  • We do not need access to your WordPress admin to operate the product after purchase (other than normal license checks for updates/entitlements).

You remain the controller of personal data collected on your own websites. You are responsible for your privacy notices, lawful bases, and how form/email data is handled on those sites.

4. How we use information

We use personal information to:

  • Provide, operate, and improve the FormZend website, checkout, accounts, downloads, and licensing.
  • Process orders, issue invoices/receipts, deliver license keys, and manage renewals or upgrades.
  • Authenticate accounts and validate license activations.
  • Respond to support requests and product questions.
  • Send transactional messages (order confirmations, account notices, license/security alerts).
  • Send product updates or marketing emails where you’ve opted in, or where permitted by law (you can unsubscribe from marketing at any time).
  • Monitor site performance, diagnose issues, prevent fraud/abuse, and keep our services secure.
  • Comply with legal obligations and enforce our terms.

5. Legal bases (where GDPR/UK GDPR applies)

Depending on the activity, we process personal data because:

  • Contract — needed to sell and deliver FormZend, manage your account/license, and provide support you request.
  • Legitimate interests — securing our services, improving the product/site, preventing abuse, and communicating important service updates.
  • Consent — where required for cookies, marketing emails, or optional forms.
  • Legal obligation — tax, accounting, and other compliance requirements.

6. How we share information

We do not sell your personal information. We may share information with:

  • Service providers that help us run the business (hosting, WooCommerce/e-commerce tooling, payment processing, email delivery for our own transactional/marketing mail, analytics, security, and customer support tools).
  • Professional advisers such as accountants or lawyers, where reasonably necessary.
  • Authorities when required by law, regulation, legal process, or to protect rights, safety, and security.
  • Business transfers if FormZend is involved in a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.

These parties are expected to process information only as needed to provide their services to us and in accordance with applicable law.

7. Cookies

We use cookies and similar technologies that may include:

  • Essential cookies — account login, security, cart, checkout, and core site operation.
  • Preference cookies — remembering settings you choose.
  • Analytics cookies — understanding how the site is used so we can improve it (only where enabled and, where required, with consent).

You can control cookies through your browser settings. Blocking essential cookies may prevent parts of the site (including checkout or account access) from working correctly.

8. Data retention

We keep personal information only as long as needed for the purposes described in this policy, including:

  • Account and license records while your account/license is active and for a reasonable period afterward.
  • Order and billing records for accounting, tax, and legal retention requirements.
  • Support correspondence for a period needed to resolve issues and improve support quality.
  • Server/security logs for a shorter operational period unless needed for investigation or legal reasons.

When information is no longer needed, we delete or anonymize it where practicable.

9. Security

We use reasonable technical and organizational measures to protect personal information, including HTTPS on our website and access controls for systems that store customer and order data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. International transfers

FormZend may be operated using service providers in [YOUR COUNTRY] and other countries. Where personal data is transferred internationally, we take steps designed to provide an appropriate level of protection as required by applicable law.

11. Your rights

Depending on where you live, you may have rights to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Request data portability
  • Lodge a complaint with a data protection authority

To exercise these rights, email hello@formzend.com. We may need to verify your identity before responding. You can also update many account details by logging into your FormZend account.

12. Children’s privacy

FormZend is intended for business and professional use. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

13. Third-party sites and services

Our website may link to third-party sites or tools (for example documentation, social profiles, or payment processors). Their privacy practices are governed by their own policies, not this one.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Continued use of the website or services after an update means you acknowledge the revised policy.
